Job Summary

The Special Projects Associate performs a range of high-level activities for the Dean’s Office including internal communications, liaising with key offices around critical Dean’s Office work, internal and external events and meetings, and a range of other responsibilities all in service to the HGSE community.

Job-Specific Responsibilities

Key Responsibilities:

  • Communicates and collaborates with various HGSE departments and units to plan projects, meetings, and events, and handles follow up as necessary
  • Staffs meetings, as assigned, and ensures timely follow up and communication with the Dean.
  • Researches, drafts, and edits a range of content on behalf of the Dean, including, but not limited to, speeches, presentations, memos, and social media for internal and external audiences
  • Drafts community-wide messages on behalf of Dean (e.g., responding to crises; major announcements; 1st day of the semester)
  • Drafts internal invitations (e.g., asking faculty to participate in events)
  • Supports assigned projects/initiatives requiring the Dean’s and input, review, and/or presence
  • Works closely with Dean’s office colleagues to track tasks and projects

Coordination and Support for external events
Coordinates and supports the Dean’s Office on large scale and meetings including:

  • Askwith Planning meetings
  • Convocation and Commencement
  • Orientation

Coordination and Support for Development related activities

  • Dean’s office contact on major development (DAG, DLC) and alumni (AC) meetings
  • Help produce Development-related documents
  • Manage Dean’s List newsletter

Coordination and support for Communications and Marketing (MarCom) activities

  • Manage HGSE Dean’s webpages (bio, speeches, messages, media)
  • Coordinate work with vendors including InkHouse
  • Support Dean’s involvement in MarCom events (e.g., Education Now, Ed Cast)

Facilitation and Management of Faculty and student engagement initiatives:

  • Coordinate and organize Faculty funding requests (application procedures, reporting requirements, and tracking)
  • Organize and manage logistics for internal HGSE events involving faculty and students as needed
  • Serve as the Dean’s Office HPAC liaison (draft quotes for Gazette/Harvard Mag stories; connect reporters with MarCom/faculty; Prepare for appearances at Harvard-wide HPAC events. Work with HPAC when hosting major figures)
  • Assist with messaging around university-wide surveys
  • Draft planning assignments from the University l in coordination with other departments – strategic plans, external engagement, development activities, faculty updates

Basic Qualifications

  • Bachelor’s degree and minimum 3 years’ relevant experience required.
  • Must be able to work evening and weekend hours as needed. Possible flexing of time to accommodate, though overtime may also be necessary.

Additional Qualifications and Skills

  • Excellent written communication skills required.
  • Advanced skills in MS Office suite required (particularly Word, Excel, PowerPoint, and One Note). Ability to learn new software as needed.
  • Experience in an academic or research environment preferred.
  • Professional demeanor and ability to communicate sensitive information as needed with tact, diplomacy, and discretion.
  • Ability to work with and maintain confidential information.
  • Ability to work closely with senior leadership.
  • Careful attention to details and logistics.
  • Proactive team player with a positive, problem-solving attitude and a strong sense of ownership, work ethic, and professionalism.
  • Demonstrated track record of working independently, taking initiative when appropriate, and using good judgment throughout.
